Use Settings › Notifications to choose who receives mxHERO alert emails, which alerts they get, and how often. You can also turn on a monthly usage report. Set this up during deployment so problems such as lost storage access or failed rules reach someone quickly.
Before you begin
- You need an Owner or Administrator role in the Admin Dashboard.
- Decide which mailbox should receive alerts. A shared IT or helpdesk mailbox works better than one person's address.
- Make sure that mailbox accepts mail from
noreply@mxhero.com.
How alerts work
mxHERO records a notification whenever something needs attention, for example a storage account that lost access or a rule that failed. Every notification appears in Reports › Notifications for 30 days, whatever you choose here. See Notifications Report.
This page decides which of those notifications are also emailed, as a summary (digest) per hour, day or week.
Each notification has a type and a level. On this page each type is a card, and each level is a row in the card:
| Card | Type | Covers |
|---|---|---|
| E-mail processing | Email (MAIL) |
Processing of individual emails: storage errors, rule errors, S/MIME errors, Store in AI errors |
| Cloud storage handling | Storage (STORAGE) |
Storage accounts that lost access, malware found in mxHERO Shares |
| Rules execution | Rule (RULE) |
Mailbox rule runs and Drag and Drop folders |
| Platform warnings | Platform (PLATFORM) |
Directory sync and dataset sync |
| Row | Level | Meaning |
|---|---|---|
| … activity (for example Mail activity) | Information | For your information only |
| … warnings | Warning | Something partly failed or needs checking |
| … errors | Error | Something failed; action is usually needed |
For every code, its type and level, see Notification Error Codes.
Set up alert emails
-
Open Settings › Notifications.
In Notification addresses, type an email address and press Enter. Add as many addresses as you need. Remove one with its ×.
Under Email alert preferences, use the switch in each card's header to turn that whole card on or off.
In each card, turn on the levels you want to receive.
-
For each level you turned on, choose how often to receive the digest: By hour, By day or By week.
-
Click Save settings.
Important: Notification addresses can't be empty while any alert is on. Saving fails if you turn on an alert without an address.
Recommended starting point
| Card | Errors | Warnings | Activity |
|---|---|---|---|
| E-mail processing | On, By hour | On, By day | Off |
| Cloud storage handling | On, By hour | On, By day | Off |
| Rules execution | On, By hour | On, By day | Off, or By week to confirm mailbox rule runs |
| Platform warnings | On, By hour | On, By day | Off |
Storage errors deserve fast attention: a storage account that lost access stops uploads until someone re-authorizes it.
What the digest email looks like
-
From:
noreply@mxhero.com - Subject: "mxHERO Service Notifications"
- Language: your organization's language (English, Japanese or French), set in Settings › Organization and domains.
- Content: the number of notifications in the period, then one line per code and level with its label, type and count. Codes that aren't informational are marked Action required. Each line has a Go to Dashboard link, and View all notifications opens Reports › Notifications.
A digest is sent only when there is at least one notification for that period. Periods use UTC:
| Frequency | Covers | Sent |
|---|---|---|
| By hour | The previous clock hour | Shortly after each hour |
| By day | The previous calendar day | Around 00:00 UTC |
| By week | The 7 days ending Monday 00:00 UTC | Around Monday 00:00 UTC |
Monthly usage report
Turn on Monthly usage report to receive a summary of the previous month: emails processed and files uploaded, with charts.
- Sent on the 1st of each month, around 00:00 UTC, to the Notification addresses.
-
From:
noreply@mxhero.com, Subject: "mxHERO monthly notification". - The email is in English.
- An Open in your browser link shows the same report as a web page.
For the same figures at any time, use Reports › Usage Reports. See Usage Reports.
What this page doesn't control
Some emails go to other people and are configured elsewhere:
| Goes to | Configured in | |
|---|---|---|
| Storage re-authentication request | The owner of the storage account that lost access | Automatic. See Re-authorizing Storage Accounts. |
| Malware found in your files | The owner of the blocked file | Automatic. See Malware Detection. |
| Password, link, block, hold and approval messages | Senders, recipients and approvers | The rule, and storage notification templates. See Notification Templates. |
| Mailbox rule "done" and "error" emails | The Notification Address in the rule | The rule's Target step. See Rule Targets. |
| Tracking notifications | The sender | The rule's tracking option. See Link Tracking. |
Verify
- Turn on at least one level with By hour and save.
- Check Reports › Notifications for a notification of that type and level in the last hour.
- After the next full hour, check that the digest arrives at each notification address. If there were no notifications, no email is sent.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| No digest emails arrive | No notifications of the selected types and levels in the period, or the levels are off | Check Reports › Notifications for the same period. Turn on the levels you need. |
| Digests go to spam or are quarantined | Your mail filter doesn't trust noreply@mxhero.com
|
Allow noreply@mxhero.com in your spam and quarantine settings. |
| Save settings fails | An alert is on but Notification addresses is empty | Add at least one address. |
| Too many emails | Hourly digests for informational levels | Turn off … activity rows, or change them to By day or By week. |
A digest line shows a raw code such as malware-detected
|
Some codes have no friendly label in digests | Expected. See Notification Error Codes. |
| The page shows a notice about old notification settings | Your organization still uses the previous notification settings | Use the button in the notice to switch to the current settings, then configure them as above. |
