Mail2Cloud does not connect to an Amazon S3 bucket that you own. Its Amazon S3 storage is mxHERO Shares: storage that mxHERO runs for you on Amazon Web Services (AWS), in the region you choose. This page explains how to turn it on and use it as the storage in a rule.
Use mxHERO Shares when you don't want to use a customer cloud storage service, or when recipients should open files on a page with your organization's own link address.
Before you begin
You need an Owner or Administrator role in the Admin Dashboard.
-
Decide on a Data Storage Region before you start. You can't change it later without help from mxHERO support.
Region AWS location US (default) US East (N. Virginia), us-east-1JP Asia Pacific (Tokyo), ap-northeast-1 Decide on a link address (subdomain). Links will look like
https://<subdomain>.mxherocloud.com/s/.... You can't change it later.
How it works
You don't create a bucket, keys or permissions in AWS. mxHERO stores the files in its own S3 storage in your region, separated by organization, and serves them to recipients from your link address. Identical files are stored once per organization. Files are scanned for malware after upload. See mxHERO Shares Overview.
Set up mxHERO Shares
Open mxHERO Shares › Settings.
Click Setup if mxHERO Shares is not set up yet.
Enter the subdomain for your link address. Use letters, numbers and hyphens, up to 40 characters. Some names (for example
www, mail, admin, app) are reserved.Select the Data Storage Region.
Under Retention policy, select One Year or No expiration.
Under Authentication options, select at least one sign-in method for external users and one for members of your organization: Send code by email, Google Sign-In, Microsoft Sign-In.
-
Click Save changes.
Your link address appears as Link URL and the region selector is locked. For every setting on this page, see mxHERO Shares Settings.
Use mxHERO Shares in a rule
-
In the rule's Cloud Storage step, open Cloud Storage Account and select mxHERO Shares (listed as Enabled).
Choose a security option. It starts as 7 days expiration public access links. You can also choose public, organization, password-protected or authenticated links.
Click Confirm, then set the path in Storage Filepath.
Finish the rule as usual. See Create a Rule.
With mxHERO Shares there is no storage account to pick or balance, and files with the same name are always replaced. Zip Attachments rules always use mxHERO Shares when you add storage settings.
Verify
- mxHERO Shares › Settings shows your Link URL.
- In a rule's Cloud Storage step, mxHERO Shares is listed as Enabled.
- Send a test message, open the link in the delivered email, and check that the page opens at your link address. See Recipient Experience.
Link and security options
mxHERO Shares supports public links (with optional password and expiration), organization links, and Authenticated access links, which only the named recipient can open after signing in. Recipient (collaborator) links and template metadata from Box or Egnyte are not available. Links with no expiration still end with your retention: after 365 days with One Year, never with No expiration. See mxHERO Shares Link Types and Security and Link Security Options by Provider.
Sending email content to your own S3 or AI storage
Routing email content to a bucket or vector database that you own is a custom project, not a Mail2Cloud setting. Contact sales@mxhero.com. To make stored email searchable by AI tools, see Mail2Cloud Advanced Overview.
