This page explains how to connect a Dropbox team to mxHERO so rules can save emails and attachments to your team members' Dropbox folders or to the team space, and replace attachments with Dropbox links. mxHERO supports Dropbox team plans (Business, Advanced and similar) only.
Before you begin
- You need a Dropbox team account. Personal Dropbox accounts (Basic, Plus, Essentials) are not supported.
- You need a Dropbox team admin to connect the team.
- You need an Owner or Administrator role in the mxHERO Admin Dashboard.
- Every user whose Dropbox mxHERO writes to must be a member of the connected team.
How the Dropbox connection works
You connect the Dropbox team once. mxHERO then acts as individual team members, using their email address, to create folders, upload files and create links in their Dropbox. You choose per rule whether files go to each member's own folder or to the team space.
Connect your Dropbox team
Sign in to the Admin Dashboard and open Settings › Integrations › Accounts.
-
Click Add Account, then select Dropbox.
A Dropbox sign-in window opens.
Sign in as a team admin of your Dropbox team.
Review the access mxHERO requests for your team and click Allow.
The account appears with provider Dropbox, type Storage Service and sync status Synced. mxHERO records your team's ID and name.
You can also start this from a rule: in the Cloud Storage step, open Cloud Storage Account and click Add Account.
Map users to Dropbox members (if needed)
When a rule picks the account automatically, mxHERO looks for the team member whose email matches the sender or recipient. If a user's Dropbox email differs from their email address:
Open Settings › Accounts and Groups.
Click Edit on the account.
-
Enter the Dropbox member's email in Dropbox Account, then click Save.
The CSV column is dropboxAccount. See Managing Accounts.
Use Dropbox in a rule
- In the rule's Cloud Storage step, select your Dropbox account in Cloud Storage Account.
- Under Select which storage accounts are used, choose one:
- Automatically select the storage account based on sender/recipient: files go to the matching team member's Dropbox.
- Use a specific storage account: all files go to one member, entered in Organization account.
- Balance uploads using a list of accounts: files are spread over up to 100 members you list in Storage accounts. Use a folder all of them can reach, such as the team space.
- To save to the team space, open Advanced Options and select Team Root Namespace as the destination. Leave it empty to save to each member's own (home) folder.
- Click Confirm, then set the path in Storage Filepath. Typing
{opens the variable list. - Finish the rule as usual. See Create a Rule.
Note: Store by user account (a copy in each party's own storage) is not available with Dropbox.
Verify
- In Settings › Integrations › Accounts, the Dropbox account shows Synced.
- Send a test message that matches the rule. Check that the file is in the member's folder or the team space, and that the link in the delivered email opens. In Reports › Email Flow Logs, the message shows a
store_file_uploadedevent. See Testing Mail Flow.
What your Dropbox admin must allow
In the Dropbox Admin Console, under Settings › Sharing, check that team members may create the link types your rules use:
| mxHERO link type | What Dropbox must allow |
|---|---|
| Public access links | Shared links that people outside the team can open |
| Password protected access links | Shared links with passwords |
| Organization access links (Company) | Shared links limited to team members |
| Recipients access links | Sharing folders with people outside the team |
Link and security options for Dropbox
- Public, Company (team-only) and recipient links are supported. Recipient links add the recipient as a member of the folder and create a link that only invited members can open.
- Expiration, passwords, prevent download and remove download link are supported. A password changes the link's audience to "password".
- Recipient roles: Co-owner and Editor map to editor; Viewer and Previewer map to viewer. Folder collaboration in Storage Filepath offers Editor and Viewer.
See Link Security Options by Provider.
How Dropbox behaves
- Existing files. By default a file with the same name is overwritten. With Do not overwrite existing files on, Dropbox renames the new file.
-
Names. mxHERO removes
#and other unsafe characters. See File and Folder Naming Rules. - Metadata. Dropbox doesn't receive mxHERO metadata or template metadata.
- Throughput. Up to 8 uploads at a time per member. Use balancing for high volume. See Storage Load Balancing.
- Large files. Dropbox uploads are sent in a single request, so Dropbox's single-upload size limit applies.
Troubleshooting
| Symptom or code | Cause | Fix |
|---|---|---|
Uploads fail with user … or as user … not found
|
The sender or recipient is not a member of the connected Dropbox team, or the mapped email is wrong. | Add the user to the team, correct Dropbox Account, or use Use a specific storage account. |
| Every upload fails after connecting a personal Dropbox | mxHERO works only with Dropbox team accounts. | Delete the account and connect again as a team admin of a Dropbox team. |
Account shows Not synced; logs show invalid_access_token
|
The team connection was revoked or expired. | Re-authorize the account. See Re-authorizing Storage Accounts. |
no_write_permission or no_permission
|
The member can't write to the folder, or can't create that link type. | Check folder permissions and team sharing settings. |
rate_limit |
Dropbox's API rate limit was reached. | No action. mxHERO retries. For sustained volume, balance across members. |
conflict |
A file or folder with that name already exists in a way Dropbox can't resolve. | Change the path pattern, or turn Do not overwrite existing files on. |
collaboration_in_progress |
Dropbox is still processing a folder share. | No action. mxHERO retries. |
For other upload errors, see Storage Upload Failures.
