Use mxHERO Shares › Settings to set up mxHERO Shares for your organization and to control how share links work: the link address, the storage region, how long content is kept, how recipients sign in, and what your users may change on their own shares. You need this page before any rule can store files in mxHERO Shares.
Before you begin
- You need an Owner or Administrator role in the Admin Dashboard.
- mxHERO Shares must be part of your subscription. If the mxHERO Shares menu is missing, contact your mxHERO representative.
- Decide the subdomain and region before you start. Neither can be changed in the dashboard afterwards.
Set up mxHERO Shares (first time)
Open mxHERO Shares › Settings.
Click Setup.
-
Enter the subdomain. Your links will start with
https://{subdomain}.mxherocloud.com. The dashboard suggests the first part of your email domain (for exampleacmeforadmin@acme.com).- Use only letters, numbers and hyphens, up to 40 characters.
- The subdomain must be unique across mxHERO.
- Reserved names such as
www,mail,admin,api,app,support,secure,sharesandmxheroare rejected.
Choose the Data Storage Region: US or JP – Japan.
Choose the Retention policy, the Authentication options and the Share settings permissions (described below).
Save.
The link address and region are now fixed. The other settings can be changed at any time.
Important: You can't change the subdomain or region in the dashboard after setup. To change the region, contact support@mxhero.com.
Settings reference
Custom domain
Link URL shows your share link address, for example https://acme.mxherocloud.com. It is read-only after setup.
Data Storage Region
Where mxHERO Shares stores and processes your files: US (AWS US East) or JP – Japan (AWS Tokyo). The field is read-only after setup. Organizations set up before region selection existed use US.
Retention policy
| Option | Links without their own expiration |
|---|---|
| One Year (default) | Expire 365 days after they are created |
| No expiration | Don't expire |
A link whose security setting has an expiration (for example 7 days) always uses that expiration. Changing the retention policy affects files uploaded after the change.
Authentication options
Choose how recipients can sign in to open protected links. Tick at least one method in each group.
| Group | Used by | Methods |
|---|---|---|
| For external users | Authenticated access links (one named recipient) | Send code by email, Google Sign-In, Microsoft Sign-In |
| For members of your organization | Organization access links (anyone in your domains) | Send code by email, Google Sign-In, Microsoft Sign-In |
Keep Send code by email ticked unless you're sure every recipient can use Google or Microsoft. Microsoft sign-in only works for accounts that have an email address set, not just a sign-in name. See Link Types and Security.
Share settings permissions
These options control what users can do to their own shares in the End User App.
| Option | Lets the file owner… |
|---|---|
| Allow share expiration date modifications | Change when a share expires |
| Allow users to control shares download permissions | Choose whether files can be downloaded or only previewed |
| Allow share password modifications | Change a share's password |
| Allow share access revocation | Revoke access for one or more recipients |
| Allow share deletion | Delete shares and permanently remove the files |
| No modification allowed (default) | Nothing: users can view their shares but not change them |
Click Set full permission to tick all five permissions at once.
Warning: Allow share deletion lets users permanently delete files from mxHERO Shares. Deleted files can't be recovered, and every link to them stops working.
Shares browser restrictions
Prevent file downloads stops users from downloading files from the Shares file browser in the End User App. Users can still preview files there. This option doesn't change what recipients can do with links.
Change settings
- Open mxHERO Shares › Settings.
- Change the options you need.
- Click Save changes.
Changes can take 5–10 minutes to take effect for users and recipients.
Verify
- Create or edit a test rule that stores attachments in mxHERO Shares. See Create a Rule.
- Send a test email with an attachment to an external mailbox you control.
- Check that the link starts with your Link URL.
- For an Organization or Authenticated link, open it and check that the sign-in page offers only the methods you ticked.
- Sign in to the End User App as the sender and check that the share options match the permissions you set.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| Setup fails with a message that the subdomain is in use | Another organization already uses it | Choose a different subdomain. |
| Setup rejects the subdomain | It contains characters other than letters, numbers and hyphens, is longer than 40 characters, or is a reserved name | Choose another subdomain. |
| Save is disabled | No sign-in method is ticked in one of the Authentication options groups | Tick at least one method in each group. |
| A change doesn't seem to apply | Settings take 5–10 minutes to reach the End User App and recipient pages | Wait 10 minutes and try again. Users may need to reload the page. |
| mxHERO Shares is not offered in a rule's Cloud Storage step | mxHERO Shares isn't set up yet | Complete the setup on this page. |
| You need a different region | The region is fixed at setup | Contact support@mxhero.com with your organization ID. |
