The End User App is a website at https://app.mxhero.com where you handle the email and files your organization manages with mxHERO. This page shows how to sign in, change the language and find your way around. The pages linked at the end explain each task.
What you can do in the app
What you see depends on how your organization set up mxHERO. You may not have all of these sections.
| Section | What it's for | Read more |
|---|---|---|
| Temporary Hold | Emails you sent that mxHERO is holding for a short time before delivery. Send them now, cancel them or pause them. | Managing held emails |
| Request Approval | Emails that need someone's approval before they are delivered. Approve or reject requests sent to you, and follow or cancel your own. | Approving emails |
| Shared files | Files mxHERO stored from your email in mxHERO Shares, and the links people use to open them. | Managing shared files |
| Notifications | Notices for you, for example when one of your stored files was blocked because it contains malware. | See below |
You usually get to the app from a button in an email, such as ACCESS or APPROVE. You can also type https://app.mxhero.com in your browser.
You need your work email address. You don't need a separate password.
-
Go to
https://app.mxhero.com. In Email address, enter your work email address.
-
Click Continue.
The sign-in options your organization allows appear. You may see one, two or all three.
-
Choose an option:
- Send code by email : mxHERO emails you a 6-digit code. Open the email, then enter the code in the app. Enter it within 30 minutes.
- Google : sign in with your Google work account.
- Microsoft or Office 365 : sign in with your Microsoft work account.
With Google or Microsoft, pick the account with the same email address you typed in step 2. If it's a different account, you aren't signed in, and a page explains the mismatch. Click Login again and choose the right account. Upper and lower case don't matter.
After you sign in, the app opens. If you came from a button in an email, the app opens that email or request.
How long you stay signed in
You stay signed in for a time your organization sets. After that, sign in again. Your organization may also let you stay signed in until you sign out.
If you open the sign-in page while you are already signed in, the app takes you straight in. To switch to another email address, sign out first.
Change the language
The app is available in English and Japanese.
- Click the language selector (globe icon) at the top left. It shows the current language, for example English.
- Choose English or 日本語.
Find your way around
The menu lists the sections you can use. Some sections have several lists, for example the emails waiting for you and the history of past emails.
- Lists show one row per email or file. Click a row to open the details.
- History lists show past emails. Choose a date range to search. By default you see the last 7 days. You can search up to one year back, up to 30 days at a time.
- Team lists show emails from groups or shared mailboxes you belong to. Your organization decides whether you see these, and how much history you see. If you don't see a Team list, your organization hasn't turned it on for you.
- On small screens, scroll the menu to see all sections.
Notifications
The Notifications section lists notices meant for you. A notice is marked as new until you open it.
For example, if mxHERO finds malware in a file stored from your email, the file is blocked. You get an email, and the same notice appears here, with a link to the folder that holds the file. The file can't be previewed, downloaded or shared. If you think it's a mistake, contact your IT team.
For administrators: the admin view
This section is for mxHERO dashboard administrators.
The admin view lets you see and act on items for your whole organization in the End User App, not only your own. There are three separate admin views:
| Admin view | What you can do |
|---|---|
| Temporary Hold | See and act on held emails from any user |
| Request Approval | See and act on approval requests from any user |
| mxHERO Shares | See any user's stored files and shares. The file preview also shows the file's owner. You can open files blocked as malware and mark them as safe. |
Who gets it: Owners always have all three. An Owner decides whether users with the Administrator role get each one. See Users and roles. Changes take effect shortly, without signing out of the app.
To use it:
Sign in to the End User App with the same email address you use for the Admin Dashboard.
Turn on the admin view with the switch in the app.
Turn it off again to return to your own items.
Actions you take in the admin view are recorded as administrator actions, and use of the admin view appears in Reports › User Activity in the dashboard.
Admins also control the app from the dashboard:
- Settings › Security, card mxHERO End User Application: sign-in options, session length, and how much history users see (Team, Personal only, Acted on). See Security settings.
- mxHERO Shares › Settings: what users can change on their own shares and whether they can download files. See mxHERO Shares settings.
Troubleshooting
| Problem | What to do |
|---|---|
| The code email doesn't arrive | Check your junk or spam folder. Wait a minute, then request a new code. Make sure you typed your work address correctly. |
| A message says your address doesn't belong to an organization, or you can't sign in at all | Use your work email address, not a personal one. If it still fails, ask your IT team to check that your address is set up in mxHERO. |
| A page says the account you chose doesn't match | You signed in to Google or Microsoft with a different account. Click Login again and pick the account with the address you entered. |
| The Microsoft or Google window doesn't open | Your browser may be blocking pop-up windows. Allow pop-ups for app.mxhero.com and try again. |
| You were signed out | Your session ended. Sign in again. |
| A section or list is missing | Your organization hasn't turned it on for you. Ask your IT team. |
| You click a button in an email and the page says the email was already approved, has expired, or similar | Someone already acted on it, or its time ran out. Open the app to see its current status. |
