Your organization can have mxHERO hold some of the emails you send for a short time before they are delivered. This gives you a chance to catch a mistake, such as a wrong recipient or a missing attachment. This page explains the emails you'll get about a held message and what each button does.
How a hold works
- You send an email as usual.
- If the email matches your organization's hold rule, mxHERO keeps it for a set time instead of delivering it. Your organization decides which emails are held and for how long.
- While it's held, you can send it right away, cancel it, or pause it.
- If you do nothing, what happens when the time runs out depends on your organization's settings:
- Usually, the email is delivered automatically.
- If your organization requires you to act, the email is discarded and never sent.
Your notice email tells you which of these applies.
Depending on the rule, mxHERO holds the email for all recipients, or only the copy to the recipients that matched the rule. The other recipients get their copy right away.
Emails you may receive
Your organization chooses which of these you get, and can change the wording.
| When it arrives | What it says (default wording) | Buttons | |
|---|---|---|---|
| Hold notice | Right after you send | "The email is on Temporary Hold". "Please review it and decide whether to release it for delivery or discard it." | ACCESS: open the email in the End User App. CANCEL: cancel the email. |
| Reminder | Every few hours while the email is still held (for longer holds only) | A reminder that your email is still waiting to be released | Usually ACCESS and CANCEL |
| Completion notice | When the hold ends | "Action completed for email on Temporary Hold", then either "The email was released and has been successfully delivered…" or "The email was discarded and has not been sent." | None |
Note: The button names can be different in your organization. If a button has already been used, or the hold has ended, the page that opens says so, for example "expired".

Troubleshooting
| Problem | What to do |
|---|---|
| You didn't get a hold notice | Your organization may not send them. Open the Temporary Hold section in the app to see your held emails. Also check your junk folder. |
| The recipient says the email didn't arrive | Open the app and check the email's status. It may still be held, or it may have been cancelled or discarded when the time ran out. |
| There is no Pause button | Your organization turned pausing off for this rule. |
| The email was discarded although you didn't cancel it | Either you paused it and didn't send it before the extended time ran out, or your organization requires you to act before the hold ends. Send the email again. |
| You can't see an email a colleague says is held for your team | Your organization decides how much you see. Ask your IT team. |
| Clicking CANCEL says the hold has expired or the email was already sent | The hold had already ended. Check the email's status in the app. |
