This page explains how to register your organization with mxHERO, sign in to the Admin Dashboard, use two-factor authentication (2FA), reset a password, and how long a session lasts. Start here if you are setting up mxHERO for the first time.
The Admin Dashboard is at https://dashboard-v3.mxhero.com.
Before you begin
- Use a work email address in the domain you want mxHERO to manage, for example
admin@example.com. The domain of this address becomes your first mxHERO domain. - Decide how you will sign in: with your Google account, your Microsoft 365 (Office 365) account, or an mxHERO password. You can add more sign-in methods later in Settings › Security.
- If you register with a password, have access to the mailbox so you can open the confirmation email.
Register your organization
Registration creates your organization, your first domain and your first user. That first user is an Owner.
Go to
https://dashboard-v3.mxhero.com/register.-
Choose how to register: click Continue with Google or Register with Office 365, or, under Register with your mxHERO account:, enter your email address and click Register. The page asks only for your email address; the rest of the details come in the next step.
If you chose Google or Office 365, sign in to your provider account. mxHERO takes your domain from that account's email address.
-
Complete the form that follows:
-
Domain name: your email domain, for example
example.com. - Organization name: your company name. It must be unique in mxHERO.
- Contact number and Contact email: where mxHERO can reach you.
- Email registration only: a password and its confirmation. See Password rules.
-
Domain name: your email domain, for example
-
Submit the form.
- Google or Office 365: your organization is created and you are signed in right away.
- Email and password: mxHERO sends a confirmation email. Click the link in it within 1 hour. The link works once. When you open it, your organization is created and you are signed in.
What registration sets up
| Item | Initial value |
|---|---|
| Your user | Owner role |
| Sign-in method | The method you registered with (Google, Office 365, or User and Password) |
| First domain | Your email domain. You still need to set its Server. See Domain Server and Relay settings. |
| Transport Agent value | A random value, unique to your organization, on Settings › Gateway |
| Only process email rules with transport agent header (sometimes called Strict Mode) | On. See Gateway settings. |
| Locale and time zone | English (United States), UTC. Change them on Settings › Organization and domains › Organization. |
Password rules
mxHERO passwords (registration, new users and password reset) must have:
- at least 12 characters;
- at least one uppercase and one lowercase letter;
- at least one character that is not a letter or a number, for example
!or#.
Sign in to the Admin Dashboard
Sign-in starts with your email address. mxHERO then shows only the methods your organization allows.
Go to
https://dashboard-v3.mxhero.com.-
Enter your email address and click Sign In.
-
Choose one of the methods shown:
- Google: pick your Google account.
- Office 365: sign in with your Microsoft account.
- Use your own domain (SAML): you go to your identity provider. If SAML is your organization's only method, this happens automatically. See Single sign-on with SAML.
- Password: enter your mxHERO password and click Sign In.
If 2FA is on for your organization, enter the code from your email. See Two-factor authentication.
The dashboard opens on the page you originally requested, or on Rules › Rules List.
Important: With Google or Office 365, the account you pick in the provider's window must be the same address you typed in step 2. Capitalization doesn't matter. If they differ, no session is created and a page explains the mismatch with a Login again button.
Note: For privacy, the page shows the password option for an address mxHERO doesn't know. It never reveals whether an account exists.
Two-factor authentication
When an Owner or Administrator turns on Two-factor authentication (2FA) in Settings › Security, every dashboard user must enter an emailed code after their first sign-in step, whatever method they use.
- Sign in as usual.
- Open the email from
noreply@mxhero.comand copy the 6-digit code. - Type or paste the code into the six boxes.
- Optional: select the option to trust this device. You won't be asked for a code on this browser for 7 days.
- Submit the code.
| Limit | Value |
|---|---|
| Code valid for | 10 minutes |
| Attempts | 10 |
| Trusted device | 7 days, per browser |
If the code expires or you run out of attempts, go back to the sign-in page and start again.
To turn 2FA on or off, see Security settings.
Reset a forgotten password
This applies only when your organization allows User and Password sign-in.
- On the sign-in page, enter your email address, then click Forgot password.
- Enter your email address and submit. The page always says an email was sent, even for an unknown address.
- Open the email and click the link within 20 minutes. The link works once.
- Enter a new password that meets the password rules.
You are signed in, and your sessions on other devices end.
Change your name or password
-
Click your name in the top-right corner, then Account Settings.
In Edit User, change Name, or turn on Set a new password and enter a new password. Email can't be changed.
Click Save.
Set a new password appears only when your organization allows User and Password sign-in.
Sessions and signing out
- A dashboard session ends after 3 hours without activity. Any action in the dashboard restarts the 3 hours. When it ends, you return to the sign-in page with a session-expired message.
- Sensitive changes ask you to sign in again if your last sign-in was more than 1 hour ago: adding, editing or deleting users, editing roles, and saving dashboard sign-in options. With 2FA on, you only enter a new code.
- Your session ends immediately if your user is deleted, your role is changed, or your password is changed on another device.
- To sign out, click your name in the top-right corner, then Log Out.
- Use the language menu (globe icon) at the top to switch the dashboard between English, Japanese and French.
Verify
- After registering, open Settings › Users. You are listed with the Owner role.
- Open Settings › Organization and domains › Domains. Your domain is listed.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| Registration stops with an error about the organization, user or domain | The organization name, your email or the domain is already registered in mxHERO, or the domain can't be registered | Use a different organization name. If your company already uses mxHERO, ask an existing Owner to add you in Settings › Users. |
| Confirmation link doesn't work | It is older than 1 hour or was already used | Register again to get a new link. |
| "Login again" page after Google or Office 365 | The provider account differs from the email you typed | Sign out of the provider, or pick the matching account. |
| Only the password field appears, but you use Google or SSO | Your address is not a dashboard user, or your organization doesn't allow that method | Check the spelling. Ask an Owner or Administrator to add you or to enable the method in Settings › Security. |
| No 2FA email | Spam filtering, or the code expired | Check junk mail for noreply@mxhero.com. Start the sign-in again for a new code. |
