This page explains how to keep your organization details up to date and how to add, verify, connect and remove email domains in mxHERO. mxHERO processes mail only for domains that are connected to your organization.
Open Settings › Organization and domains. The page has four tabs: Organization, Domains, Manual Domains and DKIM.
Before you begin
- You need an Owner or Administrator user in the Admin Dashboard.
- To add a domain, you need access to its public DNS so you can publish a TXT record.
- Know your mail system's inbound host for each domain. You enter it as the domain Server when you connect the domain. See Domain Server and Relay settings.
Update organization details
-
Open Settings › Organization and domains, then the Organization tab.
-
Check the details:
- The heading shows your organization name and its ID. You need the ID for SAML single sign-on and for the mxHERO API.
- Contact: Email and Contact Number (pick the country flag, then type the number).
- Locale & Time zone: choose the Locale (English - United States, French - Standard, or Japanese - Japan) and the TimeZone.
Click Save settings.
Note: The organization name and ID can't be changed here.
Add and verify a domain
A new domain is first added on Manual Domains and verified with a DNS TXT record. Only then can you connect it.
-
Open the Manual Domains tab and click Start connecting.
-
In Connect a new domain, type the domain, for example
example.com, and click Add....mxHERO checks that the domain can be registered, then shows a TXT value in the form
mxhero-domain-check=<unique value>. -
In your DNS provider, create a TXT record on the domain itself (the apex, for example
example.com, not a subdomain) with that exact value.example.com. TXT "mxhero-domain-check=<unique value from the dashboard>" Wait for the record to publish, then click Verify. The list shows the result and the time of the last attempt.
You can leave the TXT record in place after verification.
Connect a verified domain
Connect each verified domain either as a domain of its own or as an alias of an existing domain.
- Open the Domains tab and click Add. The button appears only when you have a verified domain that isn't connected yet.
- Pick the verified domain.
- Choose how to connect it:
- As a domain: enter the Server, the host that receives your mail after mxHERO. mxHERO suggests the domain's current MX host. See Domain Server and Relay settings for the right value.
- As an alias: choose the domain it is an alias of, then click Save the alias. An alias uses the same settings as its parent domain.
- Save.
The domain appears on the Domains tab. Expand a row to see its SERVER, RELAY SERVER, RCPT LOOKUP, MX LOOKUP and ALIASES.
Important: Connecting a domain doesn't route any mail. Mail reaches mxHERO only after you change routing in your mail system. See Routing architectures.
Read the domain list
| Item | Meaning |
|---|---|
| Domain name | Prefixed with @
|
| Type, for example "synchronized on Premise" | How the domain was added: Google, Office 365, or manually ("Premise") |
| SPF is set (green dot) | The domain's SPF record includes mxHERO (include:_spf.mxhero.com or similar). If SPF needs configuration, the indicator says so. The link icon next to it opens help on setting up SPF. See SPF, DKIM and DMARC. |
| Edit | Change Server, Relay Server, Rcpt Lookup and MX Lookup |
| Remove | Delete the domain from mxHERO |
Remove a domain
- On the Domains tab, click Remove on the domain's row.
- Confirm.
mxHERO stops processing mail for that domain, and the domain returns to Manual Domains as verified but not connected. Remove the domain from your mail routing first, or mail sent to mxHERO for it is no longer handled. See Removing mxHERO from mail flow.
On Manual Domains, Remove is available only for domains that aren't connected.
DKIM
The DKIM tab creates DKIM signing keys for your domains (Setup DKIM...). For the full procedure, see SPF, DKIM and DMARC.
Verify
- The domain is listed on the Domains tab with a SERVER value.
- SPF is set shows for the domain once your SPF record includes mxHERO.
- Reports › User Activity shows the domain change. See User Activity.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| Verification fails | The TXT record is missing, still propagating, on a subdomain, or the value differs | Publish the exact value on the apex domain. Wait for DNS to update and click Verify again. |
| "Domain already exists" | The domain is registered to another mxHERO organization | Contact mxHERO support. |
| "Domain not allowed" | mxHERO doesn't allow this domain to be registered | Use a domain your company owns. If it is your company's domain, contact mxHERO support. |
| Add is missing on the Domains tab | No verified, unconnected domain on Manual Domains | Verify the domain first. |
| The Server value is rejected | Private IP addresses, IPv6 addresses and hostnames that don't resolve are not accepted | Use a public hostname or public IPv4 address. See Domain Server and Relay settings. |
