This page explains how to connect Egnyte and Egnyte Gov accounts to mxHERO so rules can save emails and attachments to Egnyte and replace attachments with Egnyte links. Egnyte connects through individual accounts only: you connect one or more Egnyte users, and rules save files with those users' access.
Before you begin
- You need an Egnyte user account with write access to the folders where mxHERO will save files. For archives shared by many people, use a dedicated Egnyte user (for example
mail2cloud@example.com) rather than a person's account, so the connection doesn't depend on one employee. - For Egnyte Gov, you need your tenant host name, for example
example.egnytegov.com. - You need an Owner or Administrator role in the mxHERO Admin Dashboard.
Note: Egnyte has no organization-wide connection in mxHERO. When you pick an Egnyte account in a rule, every file the rule saves is written with that account. To give each person their own files, use folder paths with variables, or connect several accounts and use one per rule.
Connect an Egnyte account
Sign in to the Admin Dashboard and open Settings › Integrations › Accounts.
-
Click Add Account, then select Egnyte.
An Egnyte sign-in window opens.
Enter your Egnyte domain if Egnyte asks for it, then sign in as the Egnyte user you want to connect.
Click Allow to give mxHERO access.
The account appears in the list with provider Egnyte, type Storage Service and sync status Synced. mxHERO also stores your Egnyte domain, which it learns from the sign-in.
You can also start this from a rule: in the Cloud Storage step, open Cloud Storage Account and click Add Account.
Connect an Egnyte Gov account
- Open Settings › Integrations › Accounts.
- Click Add Account, then select Egnyte Gov.
- Enter your Egnyte Gov tenant host, for example
example.egnytegov.com. You can include or leave outhttps://. - Sign in to your Egnyte Gov tenant as the user you want to connect, and allow access.
The account appears with provider Egnyte Gov and status Synced. When you re-authorize it later, mxHERO reuses the saved tenant host, so you don't enter it again.
What your Egnyte administrator must allow
- The connected user must be able to create folders and upload files in the target location.
- To create Public or Company links, the connected user must be allowed to create those link types under your Egnyte link settings. If your Egnyte domain forces an expiration on links, mxHERO adopts it automatically.
- If your Egnyte domain limits which apps can connect, an Egnyte administrator must allow the mxHERO app.
Use Egnyte in a rule
-
In the rule's Cloud Storage step, select the Egnyte or Egnyte Gov account in Cloud Storage Account, then click Confirm.
mxHERO refreshes Egnyte tokens automatically and asks for re-authorization only if Egnyte rejects the refresh.
-
In the Storage Filepath step, choose the Egnyte Space:
-
Shared space (default): the path starts at
/Shared. -
Private space: the path starts in the connected user's private folder (
private/{Egnyte User name}).
-
Shared space (default): the path starts at
-
Enter the Subfolder path. Typing
{opens the variable list. Finish the rule as usual. See Create a Rule.
Account balancing (Balance uploads using a list of accounts) is not available for Egnyte, because it needs an organization connection. For high volume, split traffic across several rules that each use a different Egnyte account.
Verify
- In Settings › Integrations › Accounts, the account shows Synced.
- Send a test message that matches the rule, then check that the files appear in Egnyte and that the link in the delivered email opens. In Reports › Email Flow Logs, the message shows a
store_file_uploadedevent. See Testing Mail Flow.
Link and security options for Egnyte
- Public and Company links are supported. Recipients access links (collaborators) are not available for Egnyte; the dashboard hides them.
- Expiration, prevent download (preview only) and remove download link are supported.
- Passwords are not available.
- Egnyte returns a view link only; there is no separate download link.
Security Definitions, Security Policies and Template Policies set to Egnyte apply to Egnyte Gov accounts too. See Link Security Options by Provider.
How Egnyte behaves
-
Metadata. mxHERO writes email details to each file in the Egnyte metadata namespace
mail2cloud. You can also apply your own Egnyte metadata with Template Definitions. See Template Definitions and Policies. -
Existing files. By default a file with the same name is uploaded as a new Egnyte version. With Do not overwrite existing files on, mxHERO saves
name_v1.ext,name_v2.ext, and so on. -
Names. mxHERO removes
#and other unsafe characters. Names containing%,[or]are handled. See File and Folder Naming Rules. - Throughput. mxHERO runs up to 4 uploads at a time per Egnyte account. When Egnyte's API rate limit is reached, mxHERO waits and retries.
- Large files. Egnyte uploads are sent in a single request, so Egnyte's single-upload size limit applies.
Troubleshooting
| Symptom or code | Cause | Fix |
|---|---|---|
Connection fails with REFERER_NOT_FOUND
|
mxHERO could not tell which Egnyte domain you signed in to (often a browser privacy setting or extension that strips referrer information). | Try again in a normal browser window without privacy extensions. |
Connection fails with ACCESS_DENIED
|
Access was not granted on the Egnyte page. | Add the account again and click Allow. |
TENANT_REQUIRED (Egnyte Gov) |
The tenant host is missing, often on accounts connected long ago. | Delete the account and add it again with the tenant host, or re-authorize and enter the host when asked. |
Account shows Not synced; Email Flow Logs show authentication_failure or invalid_grant
|
Egnyte rejected the token refresh (password change, user disabled, access revoked). | Re-authorize the account. See Re-authorizing Storage Accounts. |
rate_limit_error in Email Flow Logs |
Egnyte's API rate limit was reached. | No action. mxHERO retries. For sustained volume, split traffic across rules that use different Egnyte accounts. |
not_found |
The folder or file path doesn't exist or the user can't see it. | Check the Egnyte Space and path, and the connected user's folder permissions. |
| Files upload but links are missing or the rule reports an Egnyte 403 error | Egnyte refused the request, often because the connected user may not create that link type. | Check the user's link permissions in Egnyte, or choose a link type the user may create. |
For other upload errors, see Storage Upload Failures.
